This activity is used to assign a Role Based Access Group
as an additional entity to access a person. Additional Access
in the Personal File can be used to enable access
to entities other than a person's supervisor.
A Role Based
Access Group is a group of accessible persons that enables persons
and teams added as Members, to access the persons
added as Accessible Persons, including their employee
details. Access roles can be specified for each member of the Role
Based Access Group.
Role Based Access Groups
allow access to be granted to multiple accessible persons simultaneously. The
expected usage of Role Based Access Groups is for
various roles in a company such as HR, IT administration, and finance, to be
able to access persons to be able to perform their functional requirements.
If a Team is added as a Member,
access is granted to the members of the Team, to be
able to access the Accessible Persons.
If only
selected employees associated with the accessible persons must be accessible
to the role based access group, this can be done using the Employments
list. By default, all employments of the accessible persons will be accessible.
This is denoted by the All Employments field being
automatically set as 'Yes'. To grant access to selected employees associated
with the person, those employees will need to be manually added in the
Employments list. If one or more employees have been added
in the Employments list, All Employments
will automatically be set to 'No'.
A role based access group can be granted
access to the direct subordinates of an accessible person using the
Include Access to Direct Subordinates option. Direct subordinates
are the subordinates to whom the accessible person is the direct supervisor.
However, if a role based access group has only been granted access to selected
employees associated with the accessible person (All Employments
is set to ‘No’), subordinate access will be disabled.
As a result of this activity, role based access groups will be added as additional accessing entities to access a person.
