Manage Approval Setup

Explanation

This activity is used to view and manage the approval setup / approval template which is fetched with the creation of a Salary Revision Request. With the creation of a Revision Request a predefined Approval Template is picked automatically based on the request and employee details. The automatic fetching of a template happens based on request details such as Request Type, Urgency Level and employee details such Employee Category, Employment Type, Organization, Position, Job and Company. If there aren't any templates to match the details entered in the request, then the default approval template defined for the company is picked.

The Approval Template that is picked and the details of the Approval Levels pertaining to the template are shown inside the 'Approval Details' tab. The number of approval levels to be found for a request approval and the approvers are picked based on the setup done inside the Salary Review and Revision Approval Configuration page. Through the Approval Configuration page, approvers are set based on different Supervisor modes, Position, Job and Person.

Multiple approver roles and a single authorizer role can be found for a template. Approval will take place based on the Approval Order set. Authorizer will always be placed as the last approval level. For a certain approval level there can be multiple approvers, any of them can approve the request. In Manager Services 'Approval Details' is read only. But in HCM Services the Approval Template can be changed, new approval levels can be added, existing approval levels can be modified or deleted, and the approval order can be readjusted.

If the Approval Template was changed the new approval levels and approvers pertaining to the new template will be shown. The Approval Template cannot be changed once the approval process has started.

'Add Approval Level' dialog can be used to add approvers. 'Modify Approval Level' dialog can be used to modify approvers. If approval has already started new levels can be only to be added and placed amongst the approval pending levels in the approval order and not before the completed levels. When modifying approvers, the already completed levels cannot be modified. Approval order can be changed using the 'Move Up' and 'Move Down' buttons. Approval order can also be changed for approval pending levels.

A completed approval level is shown as 'Completed' while any approval pending levels are shown as 'Next'. If approvers are not defined for a template that is picked by the request, the HR Partner can use the 'Add Approval Level' feature to add the required approvers. If approvers are not fetched for a level, that is shown with the alert 'No Approvers Found'. If an authorizer is newly added to the template the record will always be placed as the last level in the order.
