This activity is used to create and send links to existing single or multiple documents. It could be used to publish links on an intranet, in an e-mail or in a small document portal for your commonly used documents.
This activity can be performed using the Create and Send Document Link command. This will open the Create and Send Document Link assistant where it is possible to select the document type, decide whether the latest revision, the latest released revision or the current revision should be accessible through the links and send the links by e-mail. Also, if needed it is possible to copy a link by triple click on the link which highlights all of it and then simply copying it.
Furthermore, the link given as Direct Link to Download Document File (Non-Dynamic) in Create and Send Document Link assistant will behave differently than the other two links, where the other links are dynamic, which means the latest revision or latest released revision are calculated when the link is used whereas the document revision value for the non-dynamic link is calculated when the link is created, which means it is fixed. Therefore, the direct link and the other links will not fetch the same revision.
This activity uses IFS Aurena Agent. For details on the file operations that support Aurena Agent, refer to the Uses of Aurena Agent in Document Management.
To perform this activity, the document/s must have been created first.
Links are created to view document, view document details and download the document file.
